Document Confidentiality
In short: only you, your assigned translator and a few authorised staff can open your document. Translators must keep it confidential and lose access when the job is done. You can ask us to delete your files once your order is complete.
Contents · 7 sections
1.Our commitment
Many of the documents we translate are personal or legally sensitive. This statement explains the steps we take to keep them confidential. It forms part of our Terms of Service and should be read with our Privacy Policy.
2.Need-to-know access
- Each document can be opened only by you, the one translator assigned to it, and a small number of authorised Hadayiq administrators.
- Translators cannot see requests that are not assigned to them.
- A translator’s access to your document is removed when your request is marked ready.
- Access rules are enforced on our servers, not only in the app.
3.Translator obligations
Translators working through Hadayiq are required to:
- keep every document and its contents strictly confidential, during and after the job;
- work on documents only inside our secure viewer and not download, print, copy, photograph or forward them;
- use documents only to complete the assigned request;
- use only AI or software tools approved by Hadayiq;
- report any suspected loss or disclosure to us immediately.
A translator who breaches these obligations will have their access removed and may face legal action. Translators act on their own responsibility when they breach their obligations to us; our responsibility for such acts is set out in the Terms of Service.
4.Technical safeguards
- Encrypted connections (HTTPS) for all uploads and downloads.
- Encryption at rest provided by our cloud infrastructure.
- Separate, role-based accounts for customers, translators and administrators, with the ability to suspend a translator immediately.
- A view-only document viewer for translators, designed to discourage downloading and copying.
- No sale of documents, and no use of them to train AI models.
5.Deletion
Once your order is complete and any correction period has passed, you can ask us to delete your source documents and translations. We delete them from our active systems, subject to records we must keep by law and to secure backups that are overwritten over time.
6.How you can help
- Upload documents only through the portal, not by email or messaging apps.
- Keep your Google account protected with a strong password and two-step verification.
- Sign out on shared devices.
- Tell us straight away if you suspect someone has accessed your account.
7.Limits
We work hard to protect your documents, but no online system can be guaranteed to be completely secure, and some protections, such as preventing screenshots, cannot be fully enforced by any technology. Our liability in relation to security incidents and the acts of third parties is limited as set out in the Terms of Service.
