Terms of Service
In short: we translate your documents carefully and keep them confidential. You confirm you have the right to share them and check our work on delivery. Authorities decide whether to accept a translation. Our liability is limited to what you paid for the order, and we are not responsible for losses caused by third parties such as hackers or outside service providers.

1.Agreement to these terms
These Terms of Service (the “Terms”) govern your use of the Hadayiq Translation Portal and every translation service ordered through it (together, the “Services”), provided by Hadayiq Translation Services, Dubai, United Arab Emirates (“Hadayiq”, “we”, “us”).
By signing in, continuing as a guest, uploading a document or approving a quote, you confirm that you have read and accept these Terms, our Privacy Policy, Document Confidentiality statement and Payments & Refunds Policy, which form part of these Terms. If you do not agree, do not use the Services.
You must be at least 18 years old and legally able to enter into contracts. If you act for a company or another person, you confirm that you are authorised to bind them, and “you” includes them.
2.Our services
We provide human translation of documents, which may include legal, business and personal documents. Translators may use software tools, including AI-assisted tools, to support their work; every translation is prepared and reviewed by a person before delivery.
A request becomes a binding order only when you approve our quote and we confirm receipt of payment, unless we agree otherwise in writing. We may decline any request, including documents that are illegible, incomplete, unlawful or outside our language capability.
Delivery times shown in a quote are good-faith estimates that start once the order is confirmed and paid. They are not guaranteed and may change if a document is longer, more complex or less legible than it first appeared, or if you change the request.
3.Legal and official use
When you choose “Legal — inside UAE” or “Legal — outside UAE”, we prepare the translation in a format intended for that use. However, acceptance of any translation is decided solely by the receiving authority — such as a court, ministry, notary, embassy, free zone, university or employer — and their requirements can change without notice.
- You are responsible for confirming in advance what the receiving authority requires (for example certification, stamping, attestation, notarisation or a specific format).
- Attestation, notarisation, legalisation and government fees are not included unless stated in your quote.
- We are not responsible for a rejection, delay or additional requirement imposed by a third party, provided our translation accurately reflects the source document.
Translations are a linguistic service only. We do not provide legal, immigration, tax or other professional advice, and nothing we deliver should be relied on as such.
4.Your responsibilities
You confirm and agree that:
- You own the documents you upload or have every right and consent needed to share them with us for translation, including consent from any person whose personal data appears in them.
- Your documents are genuine, lawful, and not forged, altered or obtained improperly. We may refuse or stop work, and report to the authorities where required by law, if we reasonably suspect otherwise.
- The information you give us — including names, spellings, dates and contact details — is accurate and complete. Spelling of names follows your source document or your written instructions.
- You will keep your Google account and devices secure, and you are responsible for activity carried out through your session.
- You will check each translation promptly on delivery and tell us of any error within the period set out below.
5.Accounts and guest access
You can sign in with Google or continue as a guest. Guest sessions are tied to your current browser: if you sign out, clear your browser data or change device, you may lose access to guest requests and deliveries. Connect a Google account from the Account page to keep them.
We may suspend or close access if we reasonably believe the Services are being misused, these Terms are breached, or we are required to by law.
6.Acceptable use
You must not:
- upload malware, or content that is unlawful, defamatory, obscene, or that infringes anyone’s rights;
- attempt to access other users’ data, probe or bypass security, or overload the portal;
- use automated tools to scrape or copy the portal;
- use the Services to commit fraud, forgery, money laundering or any other crime;
- contact, solicit or engage our translators directly outside the portal for work introduced through Hadayiq.
7.Quality, corrections and complaints
We aim for a faithful and accurate translation of the source text. Translation involves professional judgement; differences in style, wording or terminology that do not change meaning are not errors.
If you find an error in our translation, tell us within 7 days of delivery, identifying the passage. We will correct genuine translation errors free of charge. A correction is your sole remedy for translation errors, subject to the Payments & Refunds Policy. After this period, the translation is treated as accepted.
Changes caused by errors or changes in your source document, or new instructions after delivery, may be charged as new work.
8.Fees and payment
Prices are quoted in UAE dirhams (AED) and include VAT where applicable unless stated otherwise. Payment terms, cancellations and refunds are governed by our Payments & Refunds Policy. We may hold delivery until full payment is received.
9.Intellectual property
You keep all rights in your documents. You grant us a limited licence to store, view, copy and process them solely to provide the Services, comply with law and keep required records.
Once paid in full, you may use the translation for any lawful purpose. The portal, its design, software, the Hadayiq name and logo remain our property and may not be copied without our written permission.
10.Third-party services
The Services rely on independent providers, including Google (sign-in, cloud storage, databases, servers and analytics), our hosting provider and WhatsApp for communication. These providers operate under their own terms and security controls, which we do not control.
While we choose reputable providers and configure them with care, we are not responsible for the acts, omissions, outages, security incidents or data breaches of any third-party provider, or for any loss arising from them, except to the extent caused by our own breach of these Terms or our negligence.
11.Security and data incidents
We use reasonable technical and organisational measures to protect your documents and data. However, no system connected to the internet can be made completely secure, and we cannot guarantee that unauthorised access will never occur.
To the maximum extent permitted by law, we are not liable for any loss or damage — including financial loss, fraud, identity misuse or reputational harm — resulting from:
- hacking, cyber-attacks, malware, ransomware or other criminal acts of third parties;
- a security incident or data breach at any third-party provider, platform or network;
- compromise of your own Google account, email, WhatsApp, device or network, or your sharing of access with others;
- a translator or other person acting deliberately outside our instructions and in breach of their obligations to us, provided we took reasonable steps in selecting and instructing them;
- information you sent to us through channels outside the portal, such as personal email or messaging apps;
provided in each case that we did not cause or materially contribute to the incident through our own gross negligence or wilful misconduct. If we become aware of a personal data breach affecting you, we will notify you and the relevant authority where the law requires it, and take reasonable steps to contain it.
12.Limitation of liability
To the maximum extent permitted by applicable law:
- Our total liability arising out of or in connection with any order or the Services, whether in contract, tort (including negligence), breach of statutory duty or otherwise, is limited to the fees you actually paid us for the specific order giving rise to the claim.
- We are not liable for any indirect or consequential loss, or for any loss of profit, revenue, business, contract, opportunity, goodwill, data or anticipated savings, or for fines, penalties or costs imposed by any authority, even if we were told such loss was possible.
- We are not liable for losses caused by a rejected or delayed application, missed deadline, visa, court, business or immigration outcome, or any decision made by you or a third party in reliance on a translation.
- We are not liable for delays or failures caused by events beyond our reasonable control (see “Events beyond our control”).
Nothing in these Terms excludes or limits liability that cannot be excluded or limited under the laws of the United Arab Emirates, including liability for fraud, wilful misconduct or gross negligence. If any limitation is held unenforceable, our liability is limited to the lowest extent the law allows.
13.Your indemnity
You agree to indemnify and hold harmless Hadayiq, its owners, staff and translators against any claim, loss, liability, fine or reasonable cost (including legal fees) arising from: your documents or their content; your lack of rights or consents to share them; any forged, altered or unlawful document; inaccurate information you provided; your breach of these Terms or the law; or your use of a translation.
14.Events beyond our control
We are not responsible for failure or delay caused by events beyond our reasonable control, including natural disasters, epidemics, war, terrorism, civil unrest, government action, power or internet failures, cyber-attacks, outages of cloud, hosting or messaging providers, or strikes. Our obligations are suspended for as long as the event continues.
15.Time limit for claims
To the extent permitted by law, any claim against us must be notified to us in writing within 30 days of the date you became aware of it, and in any case no later than one year after delivery of the relevant order.
16.Changes to the services and these terms
We may update the Services and these Terms from time to time. The version in force when you approve a quote applies to that order. Material changes will be shown in the portal; continuing to use the Services after a change means you accept it.
17.Governing law and disputes
These Terms and any dispute or claim arising from them are governed by the laws of the Emirate of Dubai and the federal laws of the United Arab Emirates.
We encourage you to contact us first so we can try to resolve any concern informally within 30 days. If it is not resolved, the courts of the Emirate of Dubai have exclusive jurisdiction.
18.General
- These Terms and the policies they refer to are the entire agreement between you and us about the Services.
- If any provision is found invalid or unenforceable, the rest remain in full force.
- Our failure to enforce a right is not a waiver of it.
- You may not transfer your rights under these Terms without our consent. We may transfer ours to a successor business.
- These Terms are written in English. If they are translated, the English version prevails.
